Summary/Objective:
The Administrative Assistant performs a variety of administrative and office management functions in support of MNA staff, leaders, and members. This position will work in office and offsite locations as needed and the work hours will vary depending on business needs.
Position Duties:
- Provides administrative support to ensure the efficient operation of the office, managing routine items independently.
- Performs a variety of general secretarial and administrative duties such as copying, collating, assembling, and distributing packets, binding, and scanning.
- Operates database including updating membership, demographic and activity data, creating queries, and running reports and labels for mailing.
- Answers and routes phone calls, processes incoming mail and e-mail messages.
- Sets up and maintains working files and records; Purchases and maintains inventory of supplies for office.
- May assist at conferences and local bargaining unit meetings/events.

Required Education and Experience:
- Associate’s degree and one year of progressively responsible experience in an administrative assistant position is required.
- A combination of education and experience, which provides the necessary knowledge and skills, will be considered.
Preferred Education and Experience:
- Associate’s degree and three years of progressively responsible experience in an administrative assistant position is preferred.
Specialized Knowledge, Skills, Abilities:
- Proficiency in Microsoft Office (Word, Excel, Outlook); data entry and management.
- Proven time management and organizational skills including the ability to prioritize work.
- Knowledge of office management systems and procedures
- Attention to detail with excellent written and verbal communication skills.
- Ability to develop a good rapport and cooperative relationships with coworkers and member leaders.
- Experience with Canva or other graphic design software preferred.
Additional Requirements:
- Ability to travel in Michigan, work extended and irregular hours, and work off site, if needed.
- A valid drivers’ license, use of a car for work, and valid auto insurance are mandatory.
Physical Demands:
- Work is generally performed in an office setting with prolonged periods of sitting and working on a computer.
- Lifting of normal items (boxes of paper, storage boxes, etc.) found in an office setting up to 40 pounds when necessary.
